1. What we collect
We collect only the information necessary to provide Clinical Confidence to you. This includes account and profile data, the professional records you create in the service, and technical information required to operate and secure the platform.
2. Account and profile data
Your name, professional role, work context, email address and authentication data are collected when you create an account and when you update your profile.
3. Professional records
CPD entries, reflections, learning goals, evidence documents and files you import are stored in your account for you. This content is yours; we process it only to make the service work for you.
4. AI processing and review
When you opt in to AI features, selected content — for example a document you have chosen to import — is processed by an AI provider to produce suggestions. You review and approve everything before it becomes part of your professional record.
5. Data minimisation
We deliberately request only what is needed. You should not upload identifiable patient information or sensitive third-party data that is not necessary for your own professional record.
6. Storage and security
Data is stored on managed cloud infrastructure in Australia where available. Access is protected by authentication, encryption in transit, encryption at rest at the storage layer, and per-record owner access controls in the database.
7. Service providers
We use a small number of trusted service providers to host the platform, deliver email, and (where you have opted in) process AI requests. These providers are bound by contract to handle data only to provide the agreed service.
8. Access, correction and deletion
You may view and edit your professional information at any time from within the service. To request a full export or deletion of your account, contact us at the address below.
9. Retention
We retain your professional records for as long as your account is active, plus a limited period afterwards for backup and legal compliance. When you delete your account, active data is removed from operational systems on a defined schedule.
10. Australian Privacy Act
We handle personal information in a manner consistent with the Australian Privacy Principles under the Privacy Act 1988 (Cth). If you have a privacy complaint, please contact us first so we have an opportunity to resolve it. You may also contact the Office of the Australian Information Commissioner.
